The Procurement Office is currently looking for a Procurement Clerk reporting to the Director of Campus Procurement. This position is based on Beirut Campus.Role Summary
The Procurement Clerk is mainly responsible for purchasing materials, parts, supplies, and equipment following established purchasing policies and procedures and optimizing price, delivery, and terms of off-the-shelf items. S/he will handle the field operations by physically purchasing items from the market and ensure their timely delivery to end-users.
Main Duties & Responsibilities
- Physically visits markets, stores, and suppliers to purchase items promptly. Loads, and unloads goods as needed
- Identifies potential suppliers for specific petty cash/ off-the-shelf purchases, communicates with vendors/suppliers to obtain price quotations, negotiates prices and terms, prepares price comparison tables, issues purchase orders, and establishes delivery schedules
- Obtains from end users comprehensive description of the requested commodities that need to be purchased from the petty cash fund and on credit
- Secures samples of the requested items to end users when needed
- Organizes and coordinates the delivery of purchased items to the end users and secures their signatures on invoices; addresses any discrepancies or issues
- Facilitates the entry of suppliers to campus in coordination with the Protection Department and ensures the proper and timely delivery of the purchased commodities
- Maintains up-to-date procurement records of all performed operations
- Creates and maintains procurement files
- Drives the Office vehicle to transport goods and ensures that it is properly maintained
- Performs other duties pertinent to this job as assigned
Minimum Required Qualifications
- Bacc II or its technical equivalent (BT3)
- Minimum 3 years of administrative support, field operations experience, preferably in procurement
- Working knowledge of Oracle iProcurement is a plus
- Must possess a valid public driver’s license
- Good computer skills in MS Office Suite
- Intermediate language proficiency in English (written and spoken) and advanced proficiency in Arabic (written and spoken)
- Ability to handle physical tasks such as lifting, loading, and unloading goods
- Familiarity with local markets and suppliers
- Strong negotiation skills
- Strong Work Ethic
- Detail oriented
- Ability to work under pressure
