Program Coordinator
The School of Medicine / Residency Programs is currently looking for a Program Coordinator reporting to the Program Director. This position is based in the Medical School facility in Achrafieh, with occasional commuting to the Byblos Campus and the LAU Medical Centers.Role Summary
The Program Coordinator is responsible for supporting the residency programs. This role involves coordinating daily program operations to ensure a smooth workflow, adhering to schedules, and managing communication between residents, faculty, and program leadership. The coordinator plays a key role in facilitating an organized and efficient program environment.
Main Duties & Responsibilities
- Assists in the execution of residency program plans, including preparing rotation schedules, and resource allocation
- Ensures that the daily program operations run smoothly to maintain an efficient workflow and adherence to established schedules
- Handles the program’s daily administrative routine tasks
- Prepares and attends program-related meetings and takes minutes as needed
- Serves as the primary point of contact for communication between residents, faculty, and program leadership, and provides support as needed
- Addresses and resolves any operational issues that arise, ensuring minimal disruption to the program
- Supports the evaluation of residency programs by assisting the program director in conducting program self-study and the annual program evaluation
- Administers and manages the assessments of trainees including assigning of evaluations and tracking faculty compliance with completing the evaluations. Manages the MyEvaluation platform of all matters that pertain to the program
- Compiles and maintains data pertaining to CCC, PEC, GME, and ACGMEI
- Assists the program director and the GME (Graduate Medical Education) office with matters pertaining to ACGMEI accreditation including data collection, report preparation, review, site visit and upload of needed documents
- Assists in the recruitment process of new trainees, including setting up the interviews, and following up with the interview committee
- Assists in the program’s onboarding and orientation of trainees, updating the trainee handbook and ensures dispatching to trainees
- Liaises with the faculty, coordinators of other residency programs, and school administration on all aspects pertaining the residents as well as affiliated site directors
- Compiles data on trainees’ attendance of conferences, follows up on logging of procedures, updating portfolios, and tracking compliance with duty hours policies
- Ensures trainee compliance with various institutional and program policies
- Assists the program director in registration of various residency activities including lectures, conferences, workshops, journal clubs, morbidity and mortality meetings, etc.
- Administers and proctors in-house, international in-training examinations and other forms of assessments
- Reviews and updates the data pertaining to the program on the GME website
- Assists the GME office during the admissions period
- Performs other duties pertinent to this job as assigned
Minimum Required Qualifications
- Bachelor degree
- Minimum 2 years of work experience, academic or program coordination, preferably within a residency or educational program setting
- Strong oral and written English and Arabic communication skills
- Strong organizational and multitasking skills, with the ability to manage complex schedules and workflows
- Excellent communication and interpersonal skills, with the ability to effectively liaise with various stakeholders
- Proficiency in using office software and Microsoft Office Suite
Work Schedule
The standard work schedule for this position is Monday through Friday 8:00 AM to 4:30 PM with possible/occasional attendance after hours and/or during weekends to participate in program-related events.
