University Registrar
The Registrar Office is currently looking for a University Registrar reporting to the Vice President of Student Development and Enrollment Management (SDEM). This is a central position that requires presence on both campuses.Role Summary
The University Registrar is responsible for leading, planning and overseeing the operations of all the Registrar’s functions (scheduling, graduation, registration & records, student services, process development, and student information systems) and providing leadership to the Registrar offices on both campuses while ensuring standardized operations. S/he ensures that all academic rules and regulations are strictly implemented and adhered to, and maintains the integrity and accuracy of all student records.
Main Duties & Responsibilities
- Serves as the primary custodian of academic records and guardian of student data integrity
- Provides leadership and direction in the planning, development, and implementation of policies and procedures related to student records, registration, and graduation
- Consults and coordinates with supervisors (VP SDEM and AVP Enrollment Management) to plan and implement short-term and long-term objectives
- Plans the academic calendar
- Oversees the registration process for all students, and ensures a smooth process
- Ensures that courses and final exams schedules and class enrollment are in line with standards
- Oversees the student information system (SIS) to optimize efficient data management, reporting, and analysis while ensuring data integrity
- Oversees and ensures graduation clearance process and the diploma issuance
- Plays a pivotal role in the preparation and the execution of the commencement ceremonies on both campuses
- Ensures that students are provided proper guidance and support in matters related to academic records, registration, and graduation in a timely and professional manner
- Ensures compliance with MEHE regulatory requirements. Serves on several standing Councils and Ad-Hoc Committees
- Develops analytical reports to support decision making
- Edits academic catalogue entries
- Provides feedback to academic units on new academic proposals
- Prepares annual budgets and tracks appropriate disbursement of funds
- Stays informed about emerging trends, quality assurance standards and best practices in registrar services. Periodically reviews current practices and leads enhancement plans aligned with latest technology
- Maintains affiliations or membership with professional bodies such as AACRAO
- Leads and supervises the Registrar Office staff, providing guidance, direction, and support as needed. Fosters a positive and inclusive work culture that promotes teamwork, accountability, and continuous improvement
- Conducts performance evaluations and provides constructive feedback to team members
- Performs other duties pertaining to this job as assigned
Minimum Required Qualifications
- Master’s degree with relevant specialization
- Minimum 12 years of experience in a senior administrative role within a university, ideally in registrar, admissions, enrollment management, or faculty with administrative duties, out of which, at least 8 years are in a managerial/supervisory role
- Strong knowledge of student information systems (e.g., Banner)
- Demonstrated understanding of academic policies, regulations, and compliance requirements
- Excellent interpersonal, communication, and customer service skills
- Ability to work collaboratively in a fast-paced environment and manage multiple priorities effectively
- Strong leadership skills
- Problem solving and critical thinking skills
- Excellent Oral & Written communication skills
